Who we are
InterviewWare is an AI interview-practice service at interviewware.com. In this policy, “InterviewWare”, “we” and “us” mean the operator of that service. You can contact us about anything in this policy at support@interviewware.com.
This policy covers the public website and the practice app you use after signing in. InterviewWare is in free early access, and features still change; when they change what we collect or who processes it, we update this page and the date at the top.
What we collect
Account information
Accounts are run by Clerk, our sign-in provider. When you sign up, Clerk collects your email address and, if you continue with Google or another option shown on the sign-in page, the basic profile that service shares, such as your name and profile photo. If you set a password, Clerk handles it and we never see it. Clerk also processes device and session details (such as IP address and browser) to keep sign-in secure. Our own database keeps only your Clerk user ID and your email address.
What you create while practising
To show your history and progress, we store the records below in our database. Each record belongs to your account, and the app only shows it to you.
| Record | What is stored |
|---|---|
| Mock interviews | Title, target role, level and company; the background, resume or job description you choose to include; every question, your answers, the feedback and the IW-1 scores. |
| Written interviews | The generated questions, your written answers and the feedback report. |
| Live voice sessions and the meeting coach | Mode, role, language, the background you enter, session settings and the text transcript of the conversation. For the meeting coach, the transcript includes what other participants said. |
| Resumes | The file name, the text extracted from your PDF or DOCX, any job description you add, and the review and tailoring results. The original file is not kept: it is read once to extract the text and then discarded. |
| Answer polish | The question, your answer and the coaching feedback. |
| Speaking practice | The transcript of each take you analyse, with pace, filler-word and pause estimates. |
| Technical lab | Your code, system-design diagram and notes for each exercise, and the AI reviews you ask for. |
| My learning and saved items | Questions, answers, transcripts, lab drafts and notes you save from a tool, your review attempts and the review schedule. |
| My materials | Job descriptions and question lists you import, stored as text. |
Voice
Voice features use your microphone and, for the meeting coach, the audio of a browser tab you choose to share. Audio is sent to a speech or AI provider only to be processed (section 05). We do not store audio recordings; we keep the resulting text transcript.
Usage counters
To apply the daily limits, we record the type and time of each metered action — for example, that a live session started, or how many characters were read aloud. When you delete a record, we keep a marker with only its type and time, so it still counts towards the rolling 24-hour limit. These counters contain none of your content.
Technical data
Like any website, our hosting provider receives technical request data — such as IP address, browser type and the page requested — to deliver pages and protect the service, and may keep it briefly in server logs. Website analytics are described in section 06.
How we use it
We use the information above to:
- run the features you use — generate questions and follow-ups, score answers, review resumes, transcribe speech and read replies aloud;
- show your history, growth charts and learning review schedule;
- apply fair-use limits, prevent abuse and keep the service secure and working;
- understand, in aggregate, how the site and app are used so we can improve them (section 06);
- reply when you contact us.
We don’t sell or rent personal information, we don’t show ads or use advertising trackers, and we never share your answers or scores with employers or recruiters. We don’t train AI models of our own on your content.
Where the EU or UK GDPR applies, we rely on these legal bases: performing our agreement with you, to provide the service you asked for; your consent, for sending audio to be processed, which you give in the app and can withdraw at any time; and our legitimate interests, for security, fair-use limits and privacy-friendly analytics.
Service providers
These providers process data on our behalf. Each receives only what the feature needs; none of the AI or speech providers receives your email address.
| Provider | What it does and receives |
|---|---|
| Clerk | Sign-in, account management and session security. Receives your account details and device and session information.Clerk privacy policy |
| Railway | Hosts the website, the app’s servers, the PostgreSQL database that stores your records, and our self-hosted analytics.Railway privacy policy |
| Google (Gemini API) | The AI behind interview questions and follow-ups, feedback and IW-1 scoring, resume review and tailoring, answer polish, and lab and learning-card reviews. Receives the content you submit to that feature — for example your answer, resume text, job description or code — with our instructions. For live voice, receives the audio streamed from your browser (section 05).Gemini API terms |
| Fish Audio | Speech recognition for voice dictation and speaking-practice takes, and natural voices for reading interviewer replies aloud. Receives the audio clip to transcribe, or the text to be spoken.fish.audio |
Each provider processes this data under its own terms and privacy policy, including how long it keeps it. We may replace a provider or add one; when that changes who receives your data, we update this list first.
We may also disclose information if the law requires it, to protect the rights and safety of our users or the service, or as part of a reorganisation or transfer of the service, in which case this policy continues to apply to it.
Voice, audio and the meeting coach
- Voice dictation: the clip you record is uploaded to our server and forwarded to Fish Audio for transcription. The text goes back into the answer box; the audio is not stored.
- Speaking practice: your take stays in your browser for playback. Only when you tick the consent box and choose Analyze delivery is it sent, through our server, to Fish Audio for transcription. We keep the transcript and the delivery estimates, not the audio.
- Live voice interviews: after you tick the consent box, your browser streams microphone audio directly to Google’s Gemini Live API, using a short-lived access token issued for that session. If you choose a Fish Audio voice for the interviewer, the interviewer’s reply text is sent to Fish Audio to be spoken. We save the text transcript of both sides, never the audio.
- Read aloud: interviewer replies can be read aloud with Fish Audio voices, which sends the reply text to Fish Audio. Some read-aloud controls use your browser’s built-in speech voices instead; depending on your browser and the voice selected, the browser’s vendor may process that text.
The meeting coach
The meeting coach captures the audio of a browser tab you choose to share — and your microphone, if you include it — and streams it to Gemini to produce silent coaching notes on your screen. Video from the shared tab is never sent or saved. The audio can include other people’s voices, and the saved transcript includes what they said.
Use it only when every participant has agreed to their audio being captured and processed, and only where the meeting’s rules allow it. Many employers, including Google, prohibit AI tools during interviews; check the rules before any real interview. You are responsible for following them and for obtaining everyone’s consent (see the Terms of service). You can delete a meeting transcript in the live studio once the session has ended.
Analytics, heatmaps and session replay
Instead of third-party analytics or ad networks, we use Umami, an open-source analytics tool that we host ourselves on our hosting provider. It runs on the public site and in the app. It does not set cookies, and it does not link visits to your InterviewWare account.
- Page analytics record the page address and title, the referring site, browser, operating system, device type, screen size, language and approximate location (country, region and city). Umami uses your IP address to work out that location and a periodically changing anonymous visitor identifier; the IP address itself is not saved.
- Heatmaps record where on a page you click and how far you scroll, with the page address and window size. They don’t record what you type.
- Session replay can reconstruct a visit’s layout, mouse movement, clicks and scrolling. It is currently switched off. Before we switch it on, we will update this policy and ask for consent where the law requires it. Replays would hide the value of every form field and all text inside the practice app, the sign-in screens and the account menus, so they could show layout and clicks, but not your answers, resumes or account details.
Opting out
If your browser sends a Do Not Track signal, Umami doesn’t record your visits. To opt out in a specific browser, open its developer console on interviewware.com and run localStorage.setItem("umami.disabled", "1"). Either way, nothing is sent — no page analytics, heatmaps or replays. Content blockers that block analytics scripts work too.
How long we keep data
- Account details and practice records: for as long as your account exists, or until you delete them.
- Deleted records are removed from our database straight away. A copy may remain in database backups, if any contain it, until those backups are replaced.
- Usage counters and deleted-record markers contain no content and are removed together with your account.
- Analytics data is kept on our Umami server in a form that is not linked to your account.
- Data sent to Clerk, Google and Fish Audio is kept under their own terms (section 04).
Deleting your data
One record at a time
Every type of record listed in section 02 can be deleted on its own: open it in the app and choose Delete. Deletion is permanent. A live session can be deleted once it has ended.
Copies are separate records. If you imported a transcript into a mock interview, continued a written interview in the workspace, or saved an answer, transcript or lab draft from a tool, delete that copy where it is kept too.
Deleting doesn’t refund usage: the content-free marker described in section 02 keeps counting towards the rolling 24-hour limit.
Your whole account
Open the account menu (your avatar) and choose Manage account → Security → Delete account. This deletes your sign-in account at Clerk, and every practice record linked to it is then deleted from our database. If you can’t find the option, or would like us to do it, email support@interviewware.com from the address on your account.
Items kept only in your browser (section 07) are not affected; clear them in your browser settings.
Your rights
Depending on where you live — for example under the EU or UK GDPR, California’s CCPA/CPRA or China’s Personal Information Protection Law (PIPL) — you may have the right to access your personal information, correct it, delete it, receive a copy of it, restrict or object to certain processing, and withdraw consent you have given. You may also complain to a data-protection authority.
You can view and delete most records directly in the app. For anything else — a copy of your data, a correction, or a question about how it is used — email support@interviewware.com. We may need to confirm that the request comes from the account holder, and we won’t treat you differently for exercising these rights.
International transfers
InterviewWare and its providers run their services outside mainland China, and your information may be processed in countries other than the one you live in, including the United States. If you use InterviewWare from mainland China, your personal information — account details, the content you submit and, when you use voice features, your audio — is transferred abroad to the providers in section 04, for the purposes described there.
You can exercise your rights over that information with us at support@interviewware.com. If you don’t want a particular item processed outside mainland China, please don’t submit it, and you can delete what you have submitted at any time (section 09).
Security
All traffic to InterviewWare uses HTTPS. Every record is tied to your account, and each request that reads or deletes one is checked against that account. Live voice uses a short-lived token issued for each session instead of exposing our provider keys, and code you run in the technical lab executes in a sandboxed worker in your browser, not on our servers.
No system is perfectly secure. If you think your account has been misused, change your sign-in details and email support@interviewware.com.
Children
InterviewWare is built for job seekers and is not directed at children. If you are under 14, please use it only with the consent of a parent or guardian. If you believe a child has given us personal information without the consent the law requires, email support@interviewware.com and we will delete it.
Changes to this policy
When the product or our providers change what we collect or how it is processed, we update this page and its “Last updated” date. For significant changes, we will also give notice on the site or in the app before they take effect.
